Accounts Payable Specialist

About the Role
The Accounts Payable (AP) Specialist plays a key role in maintaining accurate, timely financial transactions and ensuring strong relationships with vendors. This position is responsible for processing invoices, monitoring expenses, reconciling accounts, and supporting financial operations to uphold the company’s integrity and profitability.
Responsibilities
- Review invoices for accuracy, proper documentation, and required approvals
- Enter, code, and process vendor invoices with strong attention to detail
- Ensure timely payment processing and conduct thorough pre-submission reviews
- Perform AP reconciliations including credit card transactions, RAMP purchases, and bank accounts
- Manage special purchase transactions and assist staff with purchasing/procurement questions
- Support monthly financial close and prepare documentation for annual audits
- Conduct bi-weekly payroll timecard reviews and support post-payroll reporting
- Manage workflow to maintain smooth AP department operations
- Identify opportunities to improve AP processes and increase efficiency
- Assist with monthly financials and general accounting tasks as needed
Requirements
- High school diploma required; Bachelor’s degree in Accounting preferred
- Associate’s degree in Bookkeeping/Accounting or equivalent experience required
- 1–3 years of experience in Accounts Payable, Accounts Receivable, or related field
- Basic understanding of accounting/bookkeeping principles and AP procedures
- Strong mathematical, analytical, and problem-solving skills
- Excellent verbal and written communication skills
- Outstanding organizational skills and attention to detail
- Ability to work independently, manage time effectively, and meet deadlines
- Ability to maintain confidentiality
- Proficiency in Microsoft Excel, QuickBooks/Sage, and Microsoft Office Suite
Compensation
$26–$32 per hour, commensurate with experience
