Job Description

Job Title: Assistant to the Director of Operations and Programs

We are seeking a detail-oriented and highly organized Assistant to the Director of Operations and Programs to support the smooth running of our educational initiatives. This role is essential in helping deliver an exceptional student experience through efficient coordination, scheduling, and administrative support. It is an in-person role, located in Manhattan. 


Key Responsibilities

Internship Program Support

  • Assist with scheduling and tracking internship placements.
  • Maintain communication with partner organizations and provide administrative support for internship logistics.
  • Collect and organize student internship progress reports for review.

Masterclass & Event Coordination

  • Support scheduling and logistics for masterclasses, panels, and guest speakers.
  • Communicate with industry experts to confirm details and materials.
  • Prepare agendas, student communications, and room/tech setup as needed.

Office Visits Scheduling

  • Manage calendars and scheduling for student office visits.
  • Confirm details with host organizations and ensure smooth logistics.
  • Prepare itineraries and track attendance.

Educational Program Support

  • Assist with classroom audits by recording attendance and observations.
  • Maintain accurate student attendance and participation records.
  • Help address basic student needs or direct concerns to the appropriate staff member.

Operations & Facilities Support

  • Provide administrative assistance to ensure the building and classrooms are prepared for daily activities.
  • Coordinate with vendors and facilities teams on scheduling, supplies, and upkeep.
  • Maintain organized systems for operations and program documentation.

Preferred Skills

  • Strong administrative and organizational skills with attention to detail.
  • Experience in scheduling, event coordination, or program support.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Strong communication skills and a collaborative mindset.
  • Proficiency with Microsoft Office, Google Suite, or similar tools.

Salary- $60,000-$67,000 annually
