Accounts Payable Specialist – Administration
Location: Brooklyn, NY
Employment Type: Full-Time | On-site
Compensation: $26–$32 per hour, commensurate with experience
Position Summary:
The Accounts Payable Specialist plays a key role in maintaining the company’s financial accuracy and vendor relationships. This position is responsible for processing, verifying, and reconciling invoices, monitoring expenses, and ensuring timely and accurate payments while supporting monthly and annual financial processes.
Key Responsibilities:
- Review invoices to ensure proper documentation and approvals prior to payment
- Enter, code, and process vendor invoices with a high level of accuracy
- Ensure timely payment processing and review payments before submission
- Perform accounts payable reconciliations, including credit cards, RAMP transactions, and bank accounts
- Manage special purchase transactions and assist staff with procurement-related questions
- Support monthly close activities and prepare documentation for annual audits
- Review payroll timecards on a bi-weekly basis and assist with post-payroll reporting
- Manage assigned workflows to maintain department efficiency
- Identify opportunities to streamline and improve accounts payable processes
- Assist with additional accounting and financial tasks as needed
Requirements:
- High school diploma or equivalent required
- Associate’s degree in Accounting/Bookkeeping or equivalent experience required
- Bachelor’s degree in Accounting preferred
- 1–3 years of experience in accounts payable, accounts receivable, or a related role
- Basic understanding of accounting and accounts payable principles
- Strong mathematical, analytical, and problem-solving skills
- Excellent time management skills with the ability to meet deadlines independently
- Strong verbal and written communication skills
- High level of accuracy, organization, and attention to detail
- Ability to maintain confidentiality
- Proficiency in Microsoft Excel, QuickBooks and/or Sage, and Microsoft Office Suite
