In-Person Administrative Assistant

Role Overview

We are seeking a highly organized, detail-oriented Administrative Assistant / Operations Coordinator to support both our online (DTC) and wholesale wallpaper operations. This is a fully in-person role that plays a critical part in order processing, client support, inventory coordination, and maintaining accurate product and vendor information across our systems.

The ideal candidate is proactive, comfortable multitasking, tech-savvy, and enjoys supporting both customers and internal teams in a fast-paced environment.


Key Responsibilities

Online & E-Commerce Operations

  • Process daily orders through Shopify and Etsy, including recording payments when applicable
  • Prepare and ship daily wallpaper samples (approximately 10–30 shipments per day)
  • Resolve online order issues such as delays, discontinued items, damaged or missing rolls
  • Communicate with vendors to request missing product information, specifications, and imagery
  • Perform manual research when vendor information is incomplete
  • Upload and organize product images and files in the corporate Google Drive
  • Upload new wallpaper collections to Shopify following established rules and formatting standards
  • Complete and verify missing product details not provided by vendors
  • Create new customer accounts in Shopify and send login credentials with a brief welcome message
  • Add products to the website upon client request for special or rare items
  • Perform technical and visual updates on Shopify, including:
  • Price changes
  • Promotional banners
  • Automatic discounts
  • Feature updates and site improvements
  • Assist clients who call the office with placing online orders or resolving checkout issues

Wholesale & Client Support

  • Process wholesale orders received via email and phone
  • Take phone orders and assist wholesale clients with:
  • Credit card payments
  • Stock availability
  • Order status
  • Approximate freight costs
  • Roll details and technical information
  • Create and send professional client quotes
  • Resolve wholesale order issues, including delayed, lost, or damaged rolls
  • Create and maintain PDF price lists as requested by management
  • Add and manage wallpaper collections in SOS Inventory
  • Edit and adjust wallpaper rolls and inventory records in SOS
  • Update the discontinued books table (periodic, detail-heavy project every 6–12 months)

Projects & Additional Support

  • Support systems, tools, and new technologies (e.g., SOS Inventory, Roomvo, or other platforms introduced by the company)
  • Assist with special projects, research, and operational tasks as assigned
  • Provide administrative and operational support directly to Boris, as needed

Qualifications & Skills

  • Strong organizational skills and attention to detail
  • Comfortable working in multiple systems (Shopify, Etsy, SOS inventory software, Google Drive)
  • Professional phone and email communication skills
  • Ability to multitask and prioritize in a fast-paced office environment
  • Comfortable handling customer service issues with patience and professionalism
  • Basic understanding of e-commerce, wholesale workflows, or inventory systems preferred
  • Willingness to learn new systems and adapt to evolving processes
