Job Overview
As the Front Office Manager (OM) and Medical Office Assistant of our new IV Infusion Center, you will play a crucial role in supporting the efficient operation of a medical office. You will be responsible for various administrative tasks to ensure the smooth functioning of the healthcare facility with tremendous growth opportunity in this new startup modern facility.

Key Responsibilities

  • Be the KEY Administrator in the medical office.
  • Demonstrate leadership skills and an ability to motivate staff and patients.
  • Have Medical Office Management experience as well as some individual customer sales experience.
  • Produce quickly and take on various roles including Front Desk Administration and Patient Care Coordination.
  • Have direct knowledge and experience with EMR System, Billing Codes, and Insurance Carrier Super Bill entry and collections.
  • Provide comprehensive administrative support and oversee day-to-day operations.
  • Answer phone calls and make calls to patients, physicians, and other staff.
  • Manage patient check-in and check-out after appointments and return visit scheduling.
  • Independently develop practical duties and escalate patient care issues as needed.
  • Pay attention to detail and accurately relay messages and information to medical staff and patients.
  • Follow through with tasks to completion and address critical patient needs.
  • Maintain a high level of integrity and discretion in handling sensitive information.
  • Possess strong computer skills including proficiency with Microsoft Word, Excel, PowerPoint, and QuickBooks.
  • Learn new software tools and systems as required.
  • Follow directions effectively and accurately in a professional medical office setup.
  • Exhibit superior written and oral communication skills, strong organizational and problem-solving skills, and the ability to multi-task.
  • Oversee day-to-day operations, greet patients, and supervise patient and staff schedules.
  • Monitor patient care to develop and maintain excellent patient satisfaction.
  • Manage patient records in the EMR system and ensure all medical claims are submitted to the billing company.
  • Take detailed clinical phone messages for the physician or advanced allied healthcare provider.
  • Acquire insurance authorizations for procedures and tests ordered by the attending physician.
  • Enter orders into the EMR system or prepare prescription refill requests for the ordering physician's review.
  • Perform Medical Assistant duties if qualified, such as venipuncture and/or EKGs.
  • Assist physicians with various procedures and relay instructions to patients and families.
  • Prepare correspondence or edit physician correspondence from dictation service as necessary.
  • Hire and train additional staff, evaluate staff performance, and report to the Medical Director.

Qualifications
  • Associate’s Degree or High School Diploma required (Bachelor’s degree highly desirable).
  • Experience as an Administrative Assistant or in a similar administrative role.
  • Familiarity with EMR systems, medical terminology, and medical billing/insurance is helpful.
  • Ability to learn and apply new information quickly.

Additional Duties May Include
  • Manage patient records, including filing and organizing documents.
  • Answer and direct phone calls using multi-line phone systems.
  • Assist with office management tasks such as scheduling appointments and maintaining office supplies.
  • Support human resources functions, including onboarding paperwork and employee records.
  • Aid in payroll processing and documentation.
  • Utilize organizational skills to maintain a tidy and efficient office environment.
  • Collaborate with the team to ensure seamless office operations.

Skills
  • Proficiency in file management and organization.
