Full Job Description

The Office Administrator plays a key role in the day-to-day success of the Shul. As the primary point of contact, this role oversees administrative operations, member communications, and internal coordination, while working closely with the Rav, Board of Directors, staff, and volunteers. The position includes managing events and Yom Tov planning, handling financial records and office logistics, supervising facilities and personnel, and fostering strong relationships with members and the wider community. The ideal candidate is organized, approachable, trustworthy, and committed to upholding the values and mission of the Shul.


Duties & Responsibilities

● Managing daily office operations, such as phone calls, messages, and emails.

● Be the “face & voice of the office” as the first point of contact when members or any other person calls or visits.

● Tracking supply inventory and making necessary purchases.

● Coordinating and scheduling Shul events.

● Paying bills, overseeing payroll, and tracking and recording Shul expenses and income from donations and sales in QuickBooks.

● Handling Shul communications and publications, creating and distributing calendars, flyers, bulletins, and newsletters.

  • Mass email communication (currently via Constant Contact)
  • WhatsApp communication to separate Men’s and Women’s chats
  • Website content

● Overseeing Shul facility maintenance and custodial staff.

● Assisting with renting Shul facilities and enforcing Shul policies for facility use.

● Managing members’ financial accounts and records, including invoicing, dues, payments, and statements

● Coordinating Yom Tov–related planning, including davening schedules, appeals, and logistical arrangements.

● Building and maintaining relationships with the congregation and community.

● Facilitating communication between the Rav, Board of Directors, staff, tenants, volunteers, and members.


Must-have Requirements

● Excellent communication, customer service, and interpersonal skills.

● Strong computer skills and ability to operate office equipment.

● Knowledge of word processing and spreadsheet software, such as Microsoft Office or Google Docs/Sheets.

● Ability to handle stress and problem-solve.

● Ability to keep confidential and sensitive information.

● Basic knowledge of Hebrew writing.

● A commitment to standing as a moral and upstanding representative of the community.


Preferred Experience

● 2 years of office or administrative experience.

● QuickBooks (or related) experience.


Office Hours

● 8:15 am-2:30 pm

This is not a full-time position.


Salary: commensurate with level of experience
