We’re looking for a Business Operations & Finance Manager to oversee key business operations and financial processes, with a primary focus on Ibex. This is a unique opportunity to work directly with senior leadership while gaining exposure to nearly every aspect of operating a growing consumer products company.
Position Overview
The Business Operations & Finance Manager is responsible for overseeing business operations, finance operations, human resources, and company administration. This role partners closely with the Managing Director and General Manager to ensure the business operates efficiently, financial processes run smoothly, and strategic initiatives move forward.
The ideal candidate is highly organized, analytical, hands-on, and comfortable balancing operational responsibilities with financial oversight. As the company continues to grow, this role offers significant opportunity to expand into broader financial management responsibilities, including overseeing bookkeeping functions currently managed by an external accounting partner.
Key Responsibilities
Business Operations
- Oversee the day-to-day operational activities of the business.
- Lead cross-functional projects from planning through execution.
- Build, document, and improve standard operating procedures across departments.
- Develop operational dashboards, reporting, and key performance indicators.
- Identify process improvement opportunities that increase efficiency and accountability.
- Coordinate company-wide operational initiatives and ensure timely execution.
- Partner with leadership on quarterly planning and strategic initiatives.
- Oversee subscription program operations, including platform management and ongoing optimization.
- Manage company certifications, memberships, and sustainability initiatives, including organizations such as Change Climate and Conservation Alliance, ensuring annual renewals and reporting requirements are completed.
- Manage the company’s insurance program, including policy renewals, certificates of insurance, claims coordination, and relationships with insurance brokers.
- Coordinate legal and compliance matters by partnering with outside legal counsel on commercial contracts, trademark matters, corporate filings, financing documentation, employment matters, insurance claims, and other business initiatives.
Finance Operations
- Oversee Accounts Payable and Accounts Receivable processes.
- Coordinate vendor payment planning and cash flow scheduling with leadership.
- Prepare and manage monthly sales representative commission reports.
- Coordinate the monthly financial close process with external bookkeeping partners.
- Review financial reports and ensure accurate and timely month-end reporting.
- Assist with lender reporting, borrowing base reporting, financing requests, and banking relationships.
- Coordinate annual tax preparation with external accounting partners.
- Prepare operational and financial reporting for leadership.
- Partner closely with the external bookkeeping team while developing an in-depth understanding of the company’s accounting processes.
- Over time, assume increasing ownership of bookkeeping responsibilities and internal financial operations as the business grows.
Human Resources & Administration
- Assist with recruiting, interviewing, onboarding, and offboarding employees.
- Support employee performance management and professional development initiatives.
- Maintain HR policies, employee handbook updates, PTO administration, and personnel records.
- Coordinate payroll administration with external providers.
- Oversee general office administration and operational support functions.
Qualifications
- 3–5 years of progressive experience in business operations, finance operations, accounting, or a related field.
- Experience in apparel, ecommerce, consumer products, or startup environments is strongly preferred.
- Strong understanding of Accounts Payable, Accounts Receivable, month-end close processes, and financial reporting.
- Experience working with external bookkeeping or accounting firms is a plus.
- Excellent organizational skills and exceptional attention to detail.
- Strong analytical and problem-solving abilities.
- Ability to manage multiple projects and priorities simultaneously.
- Excellent written and verbal communication skills.
- Comfortable working cross-functionally in a fast-paced, entrepreneurial environment.
