Job Description

About Us

We are a growing New York City real estate development and construction management company focused on developing high-quality residential projects throughout NYC. We are looking for an exceptional, highly organized professional to work directly with the Principal and help keep projects, people, and priorities moving forward.

This is not a traditional Executive Assistant position. We are seeking someone who enjoys taking ownership, solving problems, and building systems. The right person will become a key member of our team with significant opportunity for long-term growth.

Responsibilities

  • Coordinate multiple real estate development and construction projects simultaneously.
  • Track project milestones, deadlines, and follow-up items to ensure nothing falls through the cracks.
  • Communicate regularly with architects, engineers, contractors, attorneys, lenders, brokers, expediters, consultants, and vendors.
  • Coordinate meetings and ensure action items are completed promptly.
  • Organize project documents, permits, contracts, drawings, and digital files.
  • Draft professional emails, correspondence, meeting notes, and reports.
  • Assist with budgeting, invoice tracking, vendor coordination, and general office operations.
  • Improve internal processes and implement systems that increase efficiency.
  • Provide executive support as needed, including scheduling, correspondence, and administrative coordination.
  • Handle special projects and help drive company initiatives from start to finish.

Qualifications

We’re looking for someone who is:

  • Extremely organized and detail-oriented.
  • Proactive and able to take initiative without constant direction.
  • Able to manage multiple priorities in a fast-paced environment.
  • A strong communicator with excellent written and verbal skills.
  • Professional, dependable, and discreet.
  • Comfortable following up with professionals at every level to keep projects moving.
  • Highly proficient in Microsoft Outlook, Excel, and Word.

Preferred Experience

  • 2–7 years of experience in project coordination, operations, executive support, real estate, construction, architecture, engineering, or a related field.
  • Experience working with real estate developers, construction managers, general contractors, or professional service firms is a plus.
  • Familiarity with project management software is helpful but not required.
  • Yiddish-speaking candidates are strongly encouraged to apply.

Compensation

Salary: $100000–125000, based on experience.

Exceptional candidates with significant NYC real estate development or construction management experience will be considered for higher compensation.

Performance-based bonus and substantial opportunity for long-term advancement.

Who Will Thrive Here

This role is ideal for someone who enjoys bringing order to complexity, takes pride in keeping projects moving, follows through relentlessly, and wants to grow with an ambitious real estate company. If you’re looking for a long-term career where you’ll have real responsibility, direct exposure to ownership, and the opportunity to make a meaningful impact, we’d love to hear from you.
