Job Description

About the Role

We own and operate two restaurant/bar venues in Israel, run day to day by our General Manager. We are looking for a hands-on, part-time bookkeeper to be the financial backbone of the business — someone who keeps the books current, keeps us ahead of every payment deadline, and tells us clearly and regularly how the business is doing. This is a hand-holding role, not a once-a-month data entry job. You will speak with our GM daily, work directly with our outside accounting firm in Hebrew, and report to ownership in English. Expect roughly 3 hours a day, 4–5 days a week.

Daily Responsibilities

  • Collect and post sales. Call the GM each day to get the prior night’s sales numbers from both venues and enter them into the accounting software the same day.
  • Log invoices. Enter and correctly code supplier and vendor invoices; keep backup documentation organized and retrievable.
  • Watch the bank accounts. Monitor both business accounts and credit card/merchant settlements; flag anything unexpected, missing, or duplicated.

Weekly Responsibilities
  • Weekly P&L. Deliver a profit and loss statement per venue and combined. This is the single most important deliverable of the role.
  • Cash outlook. A short forward-looking summary: bills due in the coming week, credit card settlements expected from the prior week, upcoming payroll obligations, and the resulting cash position.
  • Reconciliations. Reconcile bank accounts and merchant/credit card deposits against recorded sales.

Ongoing & Monthly
  • Deadline tracking and alerts. Proactively monitor and remind us in advance of rent, arnona (municipal tax), VAT, payroll and National Insurance payments, supplier terms, and license or insurance renewals. We should never be surprised by a bill.
  • Liaison with our accounting firm. Be the main point of contact with the external firm that handles our tax filings — communicating with them in Hebrew, giving them what they need on time, and explaining back to ownership in plain English what they are telling us.
  • VAT management and education. Help us plan for VAT: what we owe, when it is due, what input VAT is reclaimable, and how to avoid surprises.
  • Monthly reporting. Produce a monthly P&L and balance sheet, and flag trends worth our attention — cost creep, food and beverage cost percentage, labor percentage, and anything that looks off.

Requirements
  • Bookkeeping or accounting experience with Israeli businesses with practical experience.
  • Restaurant, bar, or hospitality experience strongly preferred.
  • Hebrew and English, spoken and written. Non-negotiable. Hebrew for our accounting firm, vendors, and the authorities; English for daily communication with ownership.
  • Strong QuickBooks skills. Able to maintain the chart of accounts and produce clean P&L, balance sheet, and cash flow reports without supervision.
  • Comfort setting up reporting for a two-location business is a plus.
  • Working knowledge of Israeli accounting and invoicing systems (for example Hashavshevet, Priority, Rivhit, Green Invoice, or Caspit) and of Israel Tax Authority e-invoicing/allocation number requirements.
  • Comfortable dealing with Israeli banks, credit card clearing companies, and payroll providers.
  • Proactive and organized. We want someone who raises a problem a week before it happens, not a month after.

What Success Looks Like
  • Books are current — never more than a week behind.
  • A reliable weekly P&L and cash outlook, delivered the same day every week.
  • Zero missed or late payment deadlines.
  • Ownership and the GM always know where the business stands financially.
