Location: Jerusalem Area (Remote with minimal in-person requirement)

Hours: Approximately 24-30 hours per month (Flexible)

Practice Specialty: Evidence-based psychological treatments for children, adolescents, adults, and parents.

Invoicing: Must be able to issue invoices (Osek Patur / Osek Murshe).

We are seeking a highly organized, proactive, and warm Administrative Assistant to support our clinical team and help streamline daily operations. Key Responsibilities

  • Communication & Client Intake: Managing initial inquiries via phone, email, and WhatsApp; coordinating intake paperwork and maintaining professional, empathetic communication with clients and parents.
  • Scheduling & Coordination: Managing clinician schedules, appointment booking, and room/calendar coordination.
  • Data & Documentation: Organizing digital files, tracking administrative data, and updating spreadsheets.
  • General Administrative Support: Assisting with billing tracking, document preparation, and other day-to-day operational tasks as needed.

Position Structure
  • Hours: ~24 - 30 hours a month (averaging 6 - 7 hours per week).
  • Format: Primarily remote/work-from-home, with a requirement of one hour per week in person at our office in the Jerusalem area for physical file management, handovers, or alignment meetings.
  • Compensation Model: Freelance contract. The candidate must be registered to issue legal invoices (Kabalot / Cheshboniyot).

Qualifications & Requirements
  • Tax Status: Must have an active Osek Patur or Osek Murshe status.
  • Language Skills: Bilingual English/Hebrew (Native or fluent level in both, written and spoken). Comfortable communicating with both English-speaking and Hebrew-speaking clients.
  • Tech Savvy: Strong knowledge of Microsoft Excel/Google Sheets and general computer software. Comfortable learning new platforms (e.g., clinic management systems).
  • Communication Tools: Reliable, continuous access to WhatsApp and a professional manner in managing message threads.
  • Soft Skills: Exceptional interpersonal skills—warmth, discretion, empathy, and absolute confidentiality are essential.
  • Organizational Mastery: Highly detail-oriented, self-motivated, and able to manage time independently without direct supervision.
