Position Summary

The Onboarding Coordinator plays a key role in building a strong, engaged workforce by managing the full employee lifecycle from talent sourcing through seamless onboarding. This position partners closely with hiring managers and HR leadership to attract top candidates, facilitate an exceptional new-hire experience, and ensure ongoing HR compliance and record-keeping.

Key Responsibilities

  • Recruiting & Sourcing
  • Source candidates through job boards, social media, employee referrals, and professional networks
  • Write and post compelling job advertisements tailored to each role
  • Screen resumes and conduct initial phone or video interviews to assess candidate fit
  • Coordinate and schedule interviews with hiring managers and panel members
  • Maintain and update the applicant tracking system (ATS) throughout the hiring process
  • Build and nurture talent pipelines for high-volume and recurring roles

  • Onboarding & New Hire Experience
  • Manage end-to-end onboarding for all new employees, including offer letter coordination and pre-employment checks
  • Prepare and distribute new hire paperwork, ensuring all documentation is complete and compliant
  • Coordinate Day 1 logistics including equipment, systems access, workspace setup, and introductions
  • Facilitate new hire orientations and deliver engaging onboarding sessions
  • Serve as the primary point of contact for new employees during their first 90 days
  • Gather and analyze new hire feedback to continuously improve the onboarding process

  • HR Administration & Compliance
  • Maintain accurate and up-to-date employee records in the HRIS
  • Track and follow up on outstanding HR tasks such as policy acknowledgements and benefit enrollments
  • Support HR compliance by ensuring all required documentation meets federal, state, and local regulations
  • Assist with the preparation of HR reports and workforce metrics
  • Collaborate with payroll to ensure new hires are set up accurately and on time
  • Stay current on HR best practices, employment law changes, and industry trends
