The Jewish Graduate Organization (JGO) is seeking a talented and motivated Logistics and Administrative Coordinator to assist with all aspects of our program and event operations, as well as general administrative tasks, on a part-time basis. The ideal candidate is a detail-oriented, punctual, and passionate self-starter, capable of multitasking and working independently while being a team player. The Logistics and Administrative Coordinator will serve as the primary point person for logistics,

operations, and general administrative tasks of all organization programs and events, including on-campus events and national programs.

This position can be done remotely from anywhere in the US!

Responsibilities:

Logistics:

Campus:

  • Coordinate logistics and operations for hundreds of on-campus events
  • Keep track of and stay on top of all campus Event Requests and Speaker Requests.
  • Liaise with both students and National Engagement Coordinator for campus requests.
  • Set up event profiles on the events calendar and update the website for each event.
  • Manage pre and post-event registration collection, database entry and reporting, and information collection
  • Order food and supplies for each event and coordinate remote delivery/drop-off/pickup.
  • Arrange printing of any printing needed by students at nearby FedEx/printing locations.
  • Coordinate student reimbursements and payments

National:

  • Assist Program Manager in coordinating logistics and operations for all national programs (Partner Summit, JELCON, Fellowship, Connect, etc.).
  • National program operations and logistics may include but are not limited to printing, nametags, food ordering and coordination, hotel and/or event space coordination, and A/V needs.
  • Coordinate delivery with vendors for large-scale events.
  • Coordinate nametags and other supplies.

Finance Admin:

  • Review and ensure correct payment classifications and timely submission of receipts.
  • Process payments and reimbursements using various methods (Zelle, PayPal, checks, etc.).
  • Stay updated on organization and HR requirements and ensure they are addressed.
  • Coordinate with the bookkeeper to input payment data and maintain financial records.
  • Assist with financial reporting and budgeting as needed.

General Admin:

  • Provide general administrative support to the organization, as needed
  • Assist with data entry and database management.
  • Interface with vendors to resolve challenges and issues related to payments (e.g., AMEX, Zoom, Dropbox, office space, etc).

Requirements:

  • Bachelor's Degree.
  • Demonstrated experience with MS Office and G-Suite; preferred experience with various online applications such as Eventbrite, Dropbox, Slack, CRM software (Civi), Jotform, Canva, and Slack.
  • 3+ years of experience in operations, administration, or event management.
  • Understanding of the laws of Kashrut, Shabbat, and appreciation for the Jewish holidays.
