Job Description

Position Overview

We are seeking a detail-oriented and proactive Collections & Administrative Coordinator to support our property management operations. This role will focus primarily on rent collections and receivables, while also assisting with general office functions, payables entry, and operational support to property and regional managers.

The ideal candidate is organized, responsive, and comfortable working with numbers, tenants, and internal teams in a fast-paced environment.

This role requires daily follow-up with delinquent residents — candidates must be comfortable making multiple calls and enforcing payment expectations.


Key Responsibilities

Collections & Receivables (Primary Focus):

  • Manage and track tenant rent collections
  • Proactively contact residents via phone, email, and in-person follow-ups
  • Issue notices and ensure compliance with collection timelines and policies
  • Track and manage payment plans, ensuring strict adherence
  • Maintain accurate tenant ledgers and AR reports
  • Work closely with Property Manager to reduce delinquency and increase collections
  • Escalate chronic delinquencies and assist with eviction coordination


Administrative Support:

  • Enter and process accounts payable (AP) invoices
  • Assist in reviewing and reconciling receivables and tenant ledgers
  • Support monthly closing processes (as needed)
  • Provide administrative support to senior management
  • Coordinate with vendors and internal departments
  • Assist with general office tasks and special projects
  • Help ensure smooth day-to-day operations across properties


Qualifications

  • 1+ years of experience in collections, customer service, administrative, or office support roles
  • Strong communication skills with the ability to speak confidently and professionally with residents
  • Comfortable handling follow-ups and difficult conversations
  • Willingness to learn collections processes and property management systems (training provided)
  • Basic proficiency in Microsoft Excel and Outlook
  • Strong attention to detail and organizational skills
  • Ability to multitask and stay organized in a fast-paced environment

Compensation & Benefits

  • Hourly pay: $28 – $35 per hour, based on experience and performance
