Operations & Administrative Coordinator

A commercial real estate firm is seeking a detail-oriented and proactive Operations & Administrative Coordinator to support daily office operations and the management of its commercial portfolio. This role provides administrative and operational support to executives, property managers, tenants, and vendors to ensure smooth and efficient day-to-day operations.

 

Key Responsibilities

  1. Support daily operations across a portfolio of commercial properties, including coordinating maintenance requests, work orders, inspections, and vendor follow-ups
  2. Track and organize property and operational documentation, including leases, insurance certificates, licenses, and compliance records
  3. Provide administrative support to executives and property managers, including calendar management, scheduling meetings, and assisting with project organization to keep tasks on track
  4. Serve as a point of contact between internal teams, tenants, and vendors, maintaining professional communication and promptly addressing inquiries or requests
  5. Manage office supply needs and support the efficient operation of the office
  6. Assist with invoice processing, expense tracking, and coordination of vendor payments

 

Required Skills & Qualifications

  1. 1+ years of experience in administrative, operations, or real estate support roles
  2. Self-starter with the ability to work independently, take initiative, and follow through on tasks
  3. Strong organizational and time-management skills
  4. Ability to manage multiple priorities in a fast-paced environment
  5. Comfortable learning new software and systems

Preferred

  1. Experience in commercial real estate, property management, or asset management
  2. Basic understanding of leases, contracts, and vendor agreements
