Job Description
The Dispatcher and Office Assistant is responsible for coordinating daily dispatch operations and providing general administrative support to ensure smooth office functionality. This dual-role position is ideal for a highly organized, proactive individual who thrives in a fast-paced environment and can juggle multiple responsibilities with attention to detail.
Dispatch Duties:
- Schedule, assign, and coordinate drivers or field staff based on workload, priority, and availability.
- Monitor dispatch board or software system to ensure timely execution of assignments.
- Communicate job details, updates, and changes to field personnel throughout the day.
- Track the status of jobs, ensuring timely completion and accurate reporting.
- Respond to client or field staff inquiries related to schedules, ETA, and job status.
Office Assistant Duties:
- Answer and direct incoming calls, emails, and other communications professionally.
- Maintain accurate records, including job logs, timesheets, and documentation related to dispatch.
- Assist with data entry, filing, and report generation as needed.
- Order and manage office supplies and coordinate service requests for office equipment.
- Support administrative functions such as scheduling meetings, preparing documents, and maintaining records.
