Steady Strides: Fall Prevention and Stroke Rehabilitation Medical Institute is a national leader in preventing falls in older adults. We provide medical, physical, occupational, services for people with orthopedic (e.g. knee pain, shoulder pain, back pain, etc.) and neurological (e.g. Parkinson's, Stroke, MS, neuropathy, etc.) conditions, as well as helping with rehabilitation for conditions that cause balance deficits and falls. We are committed to providing exceptional care to our patients, and we’re seeking a highly organized and motivated Front Office Manager to join our team.
Job Overview
We are looking for a dedicated, experienced professional to oversee the day-to-day operations of our front office. This position is In-Person position. The ideal candidate will have a solid understanding of medical office management, including scheduling, clerical duties, and insurance verification processes. The manager will also support administrative functions and maintain communication with the clinical director and other office staff to ensure smooth and efficient operations. While the position does not involve direct billing responsibilities, a working knowledge of billing practices in a medical clinic is important.
Key Responsibilities
Team Management & Supervision
- Lead and oversee the front office team, ensuring smooth operations, excellent customer service, and effective communication among all staff members.
Scheduling & Coordination
- Monitor and manage patient scheduling via reports, ensuring that appointments and testing are scheduled accurately and in a timely manner.
- Handle patient check-in/check-out procedures.
Report Monitoring
- Generate and review reports to ensure that insurance verifications and scheduling are handled properly and completed on time.
- Maintain oversight of daily operations to ensure accuracy.
Collaboration with Clinical Director
- Regularly communicate with the clinical director to coordinate scheduling, patient flow, and operational needs.
Administrative Support & HR Functions
- Assist with the onboarding process for new hires, including preparation of documents and ensuring compliance with company procedures.
- Manage employee files, ensuring compliance with internal policies.
- Track employee attendance, assist with leave requests, and support payroll documentation.
- Assist with performance tracking and review processes as directed.
General Office & Clerical Duties
- Handle general administrative tasks such as answering phone calls, ordering supplies, and maintaining office organization.
Marketing & Outreach
- Assist with the promotion of our services to other medical clinics and institutions to expand patient referrals and collaborations.
Billing Knowledge
- While not directly responsible for billing, the manager must have a working knowledge of medical billing practices and coding, to ensure smooth communication with the billing team and maintain accurate office operations.
Qualifications
- Minimum 3 years of experience in medical office management or a similar healthcare-related position.
- Strong leadership skills with the ability to manage a team and coordinate tasks efficiently.
- Proficiency in office software and report generation.
- A working knowledge of medical billing and coding practices is a plus.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both verbal and written.
- Experience with HR-related administrative tasks is a plus, but not required.
- Knowledge of medical insurance verification and office scheduling practices.
- Ability to work independently and as part of a team in a fast-paced environment.
