Receptionist & Administrative Assistant (Light Bookkeeping)

Position Summary:

We are looking for a Full Time Receptionist/Administrative Assistant who will be responsible for greeting clients and visitors to our office. As the first point of contact, you will represent our company with professionalism and warmth. The ideal candidate will be friendly and easy going while being very perceptive and disciplined. Handle inquiries and resolve minor concerns with professionalism. To be successful in this role, you will need excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word, Excel and Outlook. This position also assists the finance department.


Position Responsibilities:

• Greeting clients and visitors with a positive, helpful attitude.

• Scheduling appointments.

• Answering phones in a professional manner, taking messages, screening and routing calls as necessary.

• Providing administrative support, including copying, faxing, and travel coordination.

• Preparing reports, memos, letters and other documents using various software programs, including the full Microsoft Office suite.

• Assisting the finance department as necessary.

• Preparing letters and documents for mailing and shipping, scheduling pick-ups.

• Sorting and distributing mail.

• Ordering office supplies and food, stocking eating area.

• Other duties as assigned.

Receptionist Requirements:

• High School Diploma.

• Previous receptionist or administrative experience preferred.

• Consistent professional dress and manner.

• Excellent written and verbal communication skills.

• Competency in Microsoft applications including Word, Excel, and Outlook.

• Good time management skills.

• Ability to contribute positively as part of a team.

• Basic bookkeeping skills preferred.
