We seek a highly motivated and organized individual to join our property management company in Montvale, NJ, as an Executive Assistant/Secretary. As the go-to person for all administrative tasks, you will play a crucial role in ensuring the smooth operation of our office. The successful candidate will possess exceptional organizational skills, strong attention to detail, and the ability to manage multiple tasks efficiently. Responsibilities:

Administrative Support:

·        Act as the primary point of contact for all administrative tasks and ensure completion.

· Creating and managing comprehensive spreadsheets of property issues, e.g., violations and projects, including fines and necessary repairs.

·        Make sense of complex information and proactively address any outstanding issues.

· Demonstrated a "get it done" attitude by efficiently completing tasks within set deadlines.

Research and Analysis:

·        Conduct research on various software solutions and present findings to the management team to streamline redundant tasks.

·        Coordinate and schedule product demos, ensuring that summarized reports are brought back.

·        Follow up on important details, such as tracking progress on Indeed job postings.

CRM Management and Reporting:

·        data, providing valuable insights and recommendations to management.

·        Keep all corporation documents organized and readily accessible for presentations when required.

·        Maintain organized files with property and entity documentation.

Vendor Relationship Management:

·        Develop and manage relationships with vendors, ensuring effective communication and cooperation.

·        Possess a deep understanding of vendor processes and goals, facilitating smooth collaborations.

·        Implement strategies to automate processes where possible, streamlining vendor interactions.

Qualifications:

  • Experience in a related field is preferred.
  • Proven experience in an administrative or executive assistant role.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Proficient in using various software applications and a quick learner of new technologies.
  • Strong analytical and problem-solving abilities, with a keen eye for detail.
  • Outstanding communication and interpersonal skills.
  • Ability to work independently and collaboratively within a team.



Schedule:

5-6 hours per day- Monday to you.


Location:

  • Our Office is located in Montvale, NJ.
  • Some remote work is acceptable, but a minimum of 2 days per week in-person is required.
