Roles & Responsibilities:

Team & Operational Support

  • Provide daily administrative and operational support to 20+ team members including Outreach Representatives, BCBAs, and RBTs.
  • Monitor caseload activity and assist with scheduling coordination and service-related follow-ups.
  • Serve as a central point of contact for internal questions, workflow organization, and problem-solving.
  • Track key performance metrics, outreach numbers, and overall team productivity for leadership review.

Hiring & Onboarding

  • Coordinate recruitment efforts for Outreach Representatives, RBTs, and BCBAs.
  • Schedule interviews and prepare onboarding materials for new hires.
  • Ensure completion of employment documentation and onboarding requirements.
  • Partner with credentialing teams to facilitate provider enrollment and service readiness.
  • Maintain onboarding trackers to ensure timely completion of all required steps.

Cross-Department Collaboration

  • Work closely with credentialing, billing, and collections teams to resolve authorization and documentation issues.
  • Support communication between departments to prevent service delays and improve operational efficiency.

Outreach Team Coordination

  • Facilitate weekly meetings with Outreach Representatives to review metrics, identify challenges, and highlight progress.
  • Maintain outreach tracking documents, dashboards, and follow-up systems.
  • Support outreach staff with organization and accountability.

Documentation & Compliance

  • Monitor DocuSign envelopes for completion and follow up as necessary.
  • Download and properly file completed documentation into staff and client records.
  • Create and maintain templates, SOPs, workflow guides, and training materials.
  • Ensure digital file organization and compliance with company standards.

Clinical & Family Support

  • Provide administrative support to BCBAs and RBTs to ensure continuity of care.
  • Assist families with general questions, documentation reminders, and communication routing.
  • Help coordinate intake paperwork and service readiness tasks.

Administrative & General Support

  • Manage shared inboxes and assist with leadership communications.
  • Respond promptly and professionally to internal messages and texts.
  • Schedule meetings, prepare agendas, and track action items.
  • Maintain trackers, spreadsheets, and internal systems.
  • Support special projects and process improvement initiatives as assigned.

Requirements:

  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • High attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office, Google Workspace, DocuSign, and spreadsheet tracking.
  • Ability to work independently while supporting cross-functional teams.
