Job Description
A growing company in the commercial construction industry is looking for a proactive, persistent, and highly driven Executive Assistant to help keep projects, priorities, and day-to-day tasks moving.
This is not a passive administrative role. We need someone who takes ownership, follows up relentlessly, and is not afraid to push people for answers or hold things accountable. If something is waiting on someone else, you don't just leave it on a list. You follow up, make the call, send the message, and keep pushing until it gets done.
The right person is organized and detail-oriented, but also has urgency, initiative, and backbone. You should be comfortable managing multiple priorities, dealing with different personalities, and stepping in when something needs to get done.
Responsibilities
- Coordinate and follow up on projects, tasks, and deadlines
- Track important action items and make sure they are completed
- Follow up with employees, vendors, subcontractors, and business partners until issues are resolved
- Push projects and tasks forward rather than waiting for others to take action
- Coordinate meetings, schedules, calls, and follow-up items
- Communicate with internal teams and outside partners to get answers and keep things moving
- Identify problems before they become bigger issues and take initiative to resolve them
- Track projects, materials, deliveries, documents, and outstanding items
- Keep project information organized and up to date
- Follow up on delays, missing information, and outstanding tasks
- Handle multiple priorities in a fast-paced environment
- Take ownership of assignments from start to finish

Qualifications
- 1–2 years of experience in an Executive Assistant, Administrative, Project Coordinator, Operations, or similar role preferred
- Strong communication and organizational skills
- Ability to manage multiple priorities and deadlines
- Strong follow-through and attention to detail
- Experience coordinating with multiple people or departments
