Job Overview

A wealth management office is looking to hire a long-term executive assistant to work alongside a financial advisor.

Key Responsibilities:

  1. Assist Financial Advisor with account paperwork including new account openings, account transfers, money movements, and account maintenance.
  2. Prepare client reports, presentations, and other performance and planning materials as needed.
  3. Handle incoming calls and emails.
  4. Provide exceptional client service through phone, email, and in-person interactions.
  5. Serve as the primary point of contact for client inquiries regarding account information, online access, documentation, and reporting.
  6. Maintain client records and files following regulatory requirements and company policies.
  7. Participate in ongoing professional development to stay current with industry trends, regulations, and best practices.
  8. Interact with our back office to resolve any account discrepancies.
  9. Perform general office tasks, such as ordering supplies, managing correspondence, and maintaining office organization.
  10. Maintain Financial Advisory business insurance, tax, and payroll needs.

Qualifications:

  1. Previous experience in administrative roles.
  2. Proficient in basic computer applications including Microsoft Office (Outlook, Word, Excel).
  3. Excellent organizational skills, detail-oriented, and has the ability to prioritize multiple tasks.
  4. Displays ability to work independently with little to no direction.
  5. Positive attitude, flexible, adaptable, and a team player.
  6. Demonstrates ability to take initiatives, follow up on and complete tasks.
  7. Performs tasks with a high level of ownership.
  8. Familiarity with, or willingness to learn about, financial markets, financial planning, and account types.

Work Schedule:

  1. Approx 25-30 hours per week, 5 days a week.
  2. Must work in-office.
  3. Paid time off for Yom Tov, Chol Homoed, and days when the stock market is closed.

Compensation:

  1. Salary $50,000 - $60,000.
