Job Description
About the Role:
As a House Manager, you will be responsible for overseeing the general
operations of a private residence. Your role is pivotal in ensuring that the
household runs smoothly and efficiently. You will act as a primary point of
contact for the household, manage daily schedules, and ensure that the
property is maintained to the highest standards.
Responsibilities:
- Manage day-to-day operations of the household.
- Conduct daily meetings with homeowners to discuss their needs and
- tasks.
- Assist with secretarial and administrative duties as required.
- Coordinate with vendors for projects, and bids and oversee their
- work.
- Coordinate guest head counts and finalize menus with the chef for
- Friday dinner and Saturday lunch.
- Coordinate maintenance services for both the primary residence and
- the Castle house, ADU, and vehicles.
- Ensure the residence is stocked with food and all household cleaning
- items etc. while keeping inventory.
- Running errands: picking up dry cleaners, pick up medications, and
- online grocery shopping.
- Organize and maintain household calendars and schedules.
- Timecard management of staff.
- Collaborate with homeowners regarding hiring and termination of staff.
- Handle incoming mail and packages.
- Adhere to the company-standard benefits package.
- Provide a schedule for Shabbos dinner attendees.
- Must be available by text, phone, and email.
- Manage appointments and reservations.
- Handle confidential information with discretion and professionalism.
Requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Capable of multitasking and effectively prioritizing daily tasks
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, Outlook, Canva) and other relevant software.
- Ability to work independently with minimal supervision.
- Discretion and confidentiality in handling sensitive information.
- Attention to detail and problem-solving skills.
- Flexibility to work outside of regular business hours when necessary.
- Familiarity with Kosher kitchen practices and Shabbat observance (Shomer Shabbos) is a plus.
The standard working hours will typically be from 9 am to 6 pm Monday through Friday. However, they may occasionally be adjusted and extended by an hour or slightly more if needed.
All Saturdays are off.
Sundays - Will work as needed (not expected to be more than once per month unless there are events).
