A rapidly growing healthcare organization is seeking a highly skilled and experienced C-Suite Executive Assistant to provide comprehensive administrative support to the executive leadership team.

This critical role supports C-level executives and requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate has prior executive-level administrative experience within a healthcare setting and a strong background in medical billing, bringing efficiency and problem-solving skills to daily operations.

Position Summary

The C-Suite Executive Assistant plays a vital role in ensuring the smooth and efficient operation of executive offices by managing schedules, communications, confidential information, and special projects while serving as a trusted liaison between leadership and internal and external stakeholders.

Key Responsibilities

  • Manage complex executive calendars and schedule meetings to ensure optimal time management
  • Coordinate travel arrangements, including flights, accommodations, and detailed itineraries
  • Prepare, edit, and manage executive-level correspondence, presentations, and reports
  • Serve as a liaison between executives, internal departments, external partners, and clients
  • Organize and maintain digital and physical filing systems
  • Handle confidential and sensitive information with discretion
  • Support board meetings, including preparation of materials, logistics coordination, and minute-taking
  • Manage expense reports and process invoices for the executive team
  • Assist with medical billing processes, including reviewing billing data, identifying discrepancies, and recommending solutions
  • Support the development and implementation of office policies and procedures
  • Coordinate and oversee special projects as assigned
  • Manage communication flow and prioritize requests for internal and external stakeholders
  • Anticipate executive needs and proactively resolve potential issues

Qualifications

  • Minimum of 2 years of office experience, preferably as an Executive Assistant in a healthcare or medical setting
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Proven ability to maintain confidentiality and exercise discretion
  • Exceptional attention to detail and problem-solving skills
  • Ability to work independently and collaboratively
  • High energy level with the ability to thrive in a fast-paced environment
