Responsibilities:
Administrative Support: Provide administrative support to ensure efficient office operations, including answering phones, managing emails, and handling correspondence.
Bookkeeping: Utilize QuickBooks to manage accounts receivable, accounts payable, and payroll processes. Maintain accurate financial records and generate reports as needed.
Organization: Maintain office filing systems, both electronic and physical, to ensure documents are easily accessible. Coordinate and schedule meetings, appointments, and travel arrangements for team members.
Customer Relationship Management: Build and maintain positive relationships with customers, vendors, and suppliers. Address customer inquiries and concerns in a timely and professional manner.
Problem-Solving: Act as a point of contact for resolving internal and external issues. Identify and address operational inefficiencies to streamline processes and improve productivity.
Attention to Detail: Ensure accuracy and precision in all tasks, from data entry to document preparation. Review and verify invoices, contracts, and other documents for completeness and correctness.
Team Collaboration: Collaborate with team members across departments to support project requirements and organizational goals. Assist with project coordination and provide administrative assistance as needed.
Qualifications:
Basic QuickBooks Knowledge is required.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent customer service and communication skills.
Proven problem-solving abilities and attention to detail.
Ability to work independently and as part of a team.
Prior experience in the construction industry is a plus.
