You’ll work closely with our designers, guide clients with clarity and care, and make sure every dollar gets collected, every question gets answered, and every project moves forward with confidence. You’re not just organizing a process. You’re creating an experience.

What You’ll Do
Guide clients through the sales process — from first inquiry to signed contract
Managing calls, emails, and ensuring a smooth handoff to our design team.
Managing the proposals and contract.
Coordinate between clients and designers, managing meetings and follow-ups
Keep our CRM, systems, and internal tools updated and aligned
Set up projects in QuickBooks, Harvest, Wrike, and ACC (training provided)
Send invoices, track payments, and manage billing communications
Follow up with clients professionally and persistently when payments are delayed
Flag issues, coordinate next steps, and communicate clearly with the team
Track collections and move projects forward without dropping a beat
Ensure every project handoff is tight, complete, and client-ready
Support the team’s needs — from check deposits to onboarding new hires
Be the calm point person the team and clients can count on — always one step ahead

Invoices are sent accurately and on time. Payments are followed up until they are collected.

What You’ll Need
2–5 years in office management, sales support, billing/AR, or operations
Comfortable with client-facing communication in a fast-paced, detail-sensitive environment
Strong verbal and written communication
Fast, clear follow-up — by email, phone, and in-person
Billing and collections coordination (not just data entry)
Scheduling, coordination, and multi-project tracking
Confidence working with systems (QuickBooks, Harvest, ACC, Wrike)
Obsessive attention to detail (in a good way)
Strong with numbers, stronger with people
Relational and professional

Position Details
Position: Office Manager
Department: Administration
Reports To: CEO
Location: In-House – Brooklyn, NY (Friday remote optional)
Job Type: Full Time, In-House, 9–6 (Fridays until 1 PM)
Compensation: $65,000 – $75,000 (based on experience)
