Job Description
A financial advisory firm is looking to hire a long-term executive assistant to work with a financial advisor, with 5 to 6 hours a week working with an attorney doing clerical work.
- Approx. 25-30 hours per week, 5 days a week.
- Paid time off for Yom Tov, Chol Hamoed, and days when the stock market is closed.
Key Responsibilities:
- Assist the Financial Advisor with account paperwork, including new account openings, account transfers, money movements, and account maintenance.
- Prepare client reports, presentations, and other performance and planning materials as needed.
- Handle incoming calls and emails.
- Provide exceptional client service through phone, email, and in-person interactions.
- Serve as the primary point of contact for client inquiries regarding account information, online access, documentation, and reporting.
- Maintain client records and files following regulatory requirements and company policies.
- Participate in ongoing professional development to stay current with industry trends, regulations, and best practices.
- Interact with the back office to resolve any account discrepancies.
- Perform general office tasks, such as ordering supplies, managing correspondence, and maintaining office organization.
- Maintain Financial Advisory business insurance, tax, and payroll needs.
Qualifications:
- Previous experience in administrative roles.
- Proficient in basic computer applications, including Microsoft Office (Outlook, Word, Excel).
- Excellent organizational skills, detail-oriented, and able to prioritize multiple tasks.
- Ability to work independently with little to no direction.
- Positive attitude, flexible, adaptable, and a team player.
- Demonstrates the ability to take initiative, follow up on, and complete tasks.
- Performs tasks with a high level of ownership.
- Familiarity with or willingness to learn about financial markets, financial planning, and account types.
