Job Description

A financial advisory firm is looking to hire a long-term executive assistant to work with a financial advisor, with 5 to 6 hours a week working with an attorney doing clerical work.


  • Approx. 25-30 hours per week, 5 days a week.
  • Paid time off for Yom Tov, Chol Hamoed, and days when the stock market is closed.


Key Responsibilities:

  • Assist the Financial Advisor with account paperwork, including new account openings, account transfers, money movements, and account maintenance.
  • Prepare client reports, presentations, and other performance and planning materials as needed.
  • Handle incoming calls and emails.
  • Provide exceptional client service through phone, email, and in-person interactions.
  • Serve as the primary point of contact for client inquiries regarding account information, online access, documentation, and reporting.
  • Maintain client records and files following regulatory requirements and company policies.
  • Participate in ongoing professional development to stay current with industry trends, regulations, and best practices.
  • Interact with the back office to resolve any account discrepancies.
  • Perform general office tasks, such as ordering supplies, managing correspondence, and maintaining office organization.
  • Maintain Financial Advisory business insurance, tax, and payroll needs.


Qualifications:

  • Previous experience in administrative roles.
  • Proficient in basic computer applications, including Microsoft Office (Outlook, Word, Excel).
  • Excellent organizational skills, detail-oriented, and able to prioritize multiple tasks.
  • Ability to work independently with little to no direction.
  • Positive attitude, flexible, adaptable, and a team player.
  • Demonstrates the ability to take initiative, follow up on, and complete tasks.
  • Performs tasks with a high level of ownership.
  • Familiarity with or willingness to learn about financial markets, financial planning, and account types.
